Defining a Set Up Participants Activity
A Set Up Participants Activity provides a designated user (the Assignee) the permission to change roles on the Set Up Participants table, which is located on the Task Details page.
This feature is convenient when the specific participants that are required to fulfill the roles are unknown at the time a workflow template is being defined. By defining a set up participants activity, only specified roles can be changed by the designated user (the Assignee).
To define a set up participants activity, a workflow administrator defines a role permission map on the Role Setup tab of an assigned activity node. Specific users, roles, and actors are specified who can modify the designated roles on the Set Up Participants table. The permissions for whether a role can be added, removed, or displayed on the Set Up Participants table are also defined in the role permission map.
The role permission map defines which assignees can alter which roles. When defining the role permission map, the assignees are specified on the Participants tab.
The roles that can be altered in the Set Up Participants table and permissions for modification are determined from all of the assignees designated on the Participants tab of each assigned activity node in the workflow template. The collective set of assignees from each activity node in the workflow template are displayed in the Defined Roles section of the Role Setup tab.
The pool of users available for updating a role in the role permission map is selected on the Resource Pool tab, this is the list of roles to which the assignee can modify existing roles in the Set Up Participants table.
The role permission map designates who can alter roles (the Assignee) on the Set Up Participants table, which is accessed from the Task Details page.
Use the following procedure to specify the role permission map:
1. Open a new Assigned Activity process node.
2. Double-click the activity and enter a name for the activity in the General tab.
3. On the Activity tab, select Set Up Participants from the Activity drop-down list.
4. On the Participants tab, specify the list of Assignees.
The list selected on the Participants tab is automatically displayed in the Assignee section of the Role Setup tab.

Participants who are not members of the context in which the Set Up Participants task will execute can be added as assignees. After adding the participant, ensure that they have the appropriate access control permissions for the affected objects.
5. On the Resource Pool tab, select the pool of users from which the Assignee can modify the roles, on the Set Up Participants table.
6. On the Role Setup tab, select an assignee in the left section of the panel.
7. In the Defined Roles section of the Role Setup tab, specify which roles the assignee can view and alter in the Set Up Participants table, by selecting any of the following checkboxes: View, Add or Remove.
If the View checkbox is disabled, the role will not be seen in the Set Up Participants table.
If the Remove checkbox is enabled, participants can be removed from this role in the Set Up Participants table.
If the Add checkbox is enabled, participants from the resource pool can be added to the role in the Set Up Participants table.
8. Click OK.
