Configuring Real-Time Sync for Salesforce Community Users
When you configure partner communities, you must customize external sharing settings to provide real-time sync support for community users who create or update records in Service Board. In Salesforce, the ServiceMax Process and ServiceMax Config Data objects store settings that drive Service Board during real-time sync. For community (external) users, access to these settings is controlled by external sharing rules. You can ensure that real-time sync to Service Board is supported for community users by modifying external sharing rules for these two objects, or by creating new external sharing rules to grant read access.

For more information on sharing access levels, see External Sharing Settings on the Salesforce Trailhead site.
To configure real-time sync for Salesforce community users:
1. In Salesforce, on the Setup page, search for and open the Sharing Settings page.
2. To modify existing external sharing rules, on the Sharing Settings page, in the Organization-Wide Defaults section, click Edit, and then on the Organization-Wide Default Sharings Edit page, scroll down to the ServiceMax Config Data object.
3. In the Default External Access drop-down list, click Public Read-Only, and then make the same setting for the ServiceMax Process object and save your changes.
4. To create new external sharing rules, on the Sharing Settings page, scroll down to the ServiceMax Config Data Rules section, and then click New.
5. In the rule creation form, create a rule for read-only access based on the record owner, and specify values for relevant ownership roles and community user access.
6. Repeat the previous steps for the ServiceMax Process object.
