Creating a FRACAS Lookup Table File
You use the FRACAS Lookup Table Setup Wizard to create FRACAS Lookup Table files. This wizard prompts you first for key fields and then for data fields.
Key fields provide the match criteria.
Data fields contain the data to copy into the FRACAS table when what you enter in the System file matches a key record set.
While you can select dependent fields as key fields or data fields, you must select all fields up to the parent before the wizard permits you to continue.
1. Create the FRACAS Lookup Table file. You initiate the creation of this file in the same way as any other file.
The FRACAS Lookup Table Setup Wizard starts and displays the Select Table Type page. Choices include the tables supported by the FRACAS module and turned on in the Table Settings pane in the Project Properties window. For more information, see Table Settings (Project).
The table type that you select determines the table on which edits are tracked. For example, if you select FRACAS Incidents, entering or modifying data in a field in this table initiates a data lookup to see if a matching key record exists.
You can select key fields from this table type as well as from any parent tables. For example, if you select FRACAS Incidents Subtable 3, you can select fields from it as well as from the following tables: FRACAS Incidents, System Tree Items, and Configurations (if turned on).
However, a lookup is triggered only when you make changes to key fields in the table type you select here on this first wizard page. Making a change in a foreign key field, which is a field in a higher (parent) table, does not trigger a lookup. If you change a foreign key field, you must refresh the data copied from FRACAS Lookup Table files into the System file. For more information, see Refreshing FRACAS Lookup Data in a Parent Table.
2. Select the table and click Next. The Select Key Fields page appears.

Table type
Lists all the tables from which you can select key fields. The default is the table type selected on the Select Table Type page; however, you can select fields from parent tables as well.
Available fields
Lists all of the fields in the selected table type that can still be selected for use as key fields. This includes text, numeric, and yes/no fields in the table. It does not include memo, date, and any special fields, such as Workflow or those for attachments.
Selected fields
Lists the fields that have already been selected for key fields. The table from which the field was selected appears in parentheses after the field name. You can use the standard Windows drag-and-drop technique to reorder the fields in the list. The first field in the list is the first field inserted in the FRACAS Lookup Table file, the second field in the list is the second field inserted in this file, and so on. You can have as many as five key fields.
When clicked, the field selected in the Available fields list is moved to the Selected fields list. You can also double-click a field in the Available fields list to move it to the Selected fields list.

4. When the one to five fields to use as key fields appear in the Selected fields list, click Next. The Select Data Fields page appears.
On the Select Data Fields page, you select the data fields that are to contain the information to copy into the System file when an exact match of a key record occurs. None of the fields selected as key field are available for selection as data fields.
No limit exists on the number of data fields you can select. Choices include all available date, text, memo, numeric, and yes/no fields in the table type selected for the FRACAS Lookup Table file. Choices do not include any special fields, such as Workflow or those for attachments.
5. Add and order data fields in the same way you added and ordered key fields.
6. When finished, click Next. The final page of the wizard appears.
7. Click Finish to create the file.
You can insert and modify key records in the FRACAS Lookup Key pane. You can also select, insert, cut, copy, paste, delete, and move these records in the same manner as records in the System file.
Deleting a key record also deletes the record that has been inserted for it in the FRACAS Lookup pane. You can rerun the FRACAS Lookup Table Setup Wizard to select different key fields and data fields or to change the order in which these fields are presented.
