Creating an Indexing User
The Windchill AI Assistant plugin uses the Windchill Policy Administration and Participant Administration utilities to manage data access.
To control which data the plugin can access, PTC recommends creating a dedicated machine user called the Indexing User. The plugin uses this user internally to perform indexing and related operations on Windchill data. By assigning this user to specific products, projects, or libraries, you can control which data the plugin can access, down to individual folders.
Follow these steps:
1. Create a new user in Windchill using the Participant Administration utility in Windchill. For more information, see Using the Participant Administration Utility and Creating a New User.

Use a clear, descriptive user name such as indexinguser or aiindexer so the user is easy to identify later.
2. Grant the indexing user read‑only access to the data you want to index using the Policy Administration utility. For more information, see Policy Administration.
3. Configure the indexing user. For more information, see Configuring the Indexing User.

The plugin indexes all data that the indexing user can access. To limit what gets indexed, control the contexts and folders that you assign to this user. For limits on the number of documents that can be indexed, see Known Issues for On-prem Environment.
Granting the indexing user access to one or more contexts and initiating indexing will incur costs in your Azure subscription.
