Distribution Lists
Distribution lists allow you to assign published procedures and viewers to a single distribution list. The distribution lists can be added to over time, with new procedures inheriting viewers that are already set on the distribution list. This then allows you to distribute a newly published procedure to hundreds of users with just a few steps.
*
A user can be granted access to a procedure on multiple distribution lists, as well as through direct access. If you’re trying to remove a user’s access to a procedure, be sure to check all distribution lists where the procedure is included as well as their direct access to the procedure. To review users with viewing access, open the specific procedure in the Distribution Center and select the Manage Viewers or Manage Distribution Lists tabs.
Create a Distribution List
1. Click the create new distribution list button.
2. On the CREATE DISTRIBUTION LIST window, enter a name for the new group and a description.
*
It can be helpful to develop a naming convention for distribution lists for consistency, readability, and search purposes. For example, think about organizing your procedures by location, machine, worker type, etc.
Including a detailed description for the new distribution list can help make sure that the correct users get assigned as viewers.
3. Click CREATE.
4. Once you’ve created your new distribution list, you can assign procedures, viewers, and managers to the distribution list.
