Edit Sorting and Grouping Window
The Edit Sorting and Grouping window provides for specifying sorting and grouping criteria for the report. The following table describes the options in this window. For more information, see Inserting a Sorting or Grouping Criterion.
Option
Description
Table type
The table containing the data field to use for sorting and grouping.
Data field
The field to use for the first sorting level. This is generally the field with the largest set of possible values.
Sort order
The sort order to use. Choices are:
Ascending — When selected, the Report Designer sorts from A to Z or 0 to 9.
Descending — When selected, the Report Designer sorts from Z to A or 9 to 0.
Date grouping
The way by which to group dates. This option is available only when the field selected is a date field. Choices are:
Day Only — When selected, records with the same date are grouped on the report.
Exact Date/Time — When selected (default), records with the exact same date and time are grouped on the report.
Month — When selected, records with the same month and calendar year are grouped on the report.
Quarter — When selected, records within the same quarter of the calendar year are grouped on the report.
Week — When selected, records within the same week of the calendar year are grouped on the report.
Year — When selected, records within the same calendar year are grouped on the report.
Group header
Indicates whether a field is used for grouping. A data group is distinguished from a sort order by the presence of a Group Header and Group Footer. When this checkbox is cleared (default), the field is used only for sorting. When this checkbox is selected, the field is also used for grouping. The Group Header includes the data field on which the group is based. If a Group Header or Group Footer is not specified for the selected field, the field is still included, in sequence, in the sort order for the report.
Group footer
Indicates whether a Group Footer is created. When this checkbox is selected, a Group Footer is created.
Start groups on new page
Indicates whether each data group is to start on a new page. This option is available only when Group header or Group footer is selected. When this checkbox is selected, each data group is started on a new page.
*
This option is not shown in the Edit Sorting and Grouping window when modifying an already existing Group Header. If you did not select this checkbox during its creation but should have, you must create a new Group Header so that this checkbox can be selected. Then, you can delete the old Group Header.
