Generating User and Group Reports
You can generate user and group reports by selecting Tools > Generate Users and Groups Report. The reports that you select for generation are written to separate worksheets in a Microsoft Excel file. You can use the user and group data in this file for informational purposes. However, the reports generated are valid import files only for the same Windchill Risk and Reliability version. In other words, you cannot generate reports in a previous version and then import this data into Windchill Risk and Reliability 12.0.0.0.
1. Select Tools > Generate Users and Groups Reportt. The Users and Groups Report window opens. All reports are selected by default. For more information, see Users and Groups Report Window.
2. Select the reports to generate to worksheets in the Excel file. You can click Select All or Clear All to select or clear all reports and then customize your selections from there.
If you want to import user and group data into a new installation, you must select at least these three reports: Groups per User, Groups, and Users.
3. For Report file name, enter the name to assign to the Excel file. By default, the file is saved to the My Windchill Risk and Reliability Files folder for your current version in your local Documents folder. However, you can use the browse button for Report file name to open the Save As window, which you can use to navigate to a different folder in which to save this local file.
4. Once you have supplied the appropriate folder and file information, click OK. The Generating User and Group Report window opens, supplying progress information as the Excel file is generated. Clicking Stop in this window would cancel report generation.
Once the Excel file is created, a window opens, indicating that the report has been generated successfully.
5. Click OK. The Excel file opens. No formatting is applied to this data.
You can use Excel’s command for automatically fitting the content to the column width so that all field data is visible. Because the Autofit command name and menu location vary in different versions of Excel, you should see Excel’s help for more information.
6. Review the reports in this file. The worksheets sheets for reports are not shown in alphabetical order as they were in the Users and Groups Report window. They are created in the order in which the data must be logically gathered to generate them.
7. When finished, click the X to close Microsoft Excel.
8. If desired, import this data into a new installation of Windchill Risk and Reliability Administrator. For more information, see the next topic.
