Creating an Email Notification Template
A notification routing template can be created using a notification robot node, for sending email messages to registered and non-registered Windchill users, with one or more attachments. Templates are used to send emails with attachments, or the metadata of the primary business object associated with the workflow template for which the notification is being sent.
Site administrators are responsible for creating and modifying the notification templates for the site context. A site administrator can define non-Windchill users with registered names and email addresses as valid participants in the Windchill directory, but who are explicitly prevented from logging into the Windchill system. Organization administrators are responsible for creating and modifying the notification templates within their respective organization context.
Workflow definers are users with permissions to define workflow templates within their respective context and could include any of the following roles; a product manager, library manager, or a project manager. Workflow definers create workflow templates that use a notification robot node to deliver primary business object content and attachments to recipients. There are multiple types of notifications: task notifications, deadline approaching notification, deadline overdue notification, past deadline notification, abort notification, delegate notification, and notifications produced by notification robots. You can configure parts of each of these notification types.
Use the following procedure to specify a notification routing template:
1. When creating or editing a workflow template, select the Notification robot node from the toolbar at the left of the Workflow Template Editor and click anywhere within the open area to place it in the editor.
2. Double-click the Notification robot.
3. On the Message tab, select the Notification template from Template drop-down list.
Out of the box, there are two notification templates: NotificationRobotPlain and NotificationRobot. To create a new template, see Customizing Workflow Administration.
4. [Optional] Select the Use subject from template checkbox to include the pre-specified subject in the notification emails.
*
Because the notification template can be used for multiple kinds of notifications, selecting the Use subject from template checkbox may result in a generic subject. If you want a specific subject, use the Subject field to specify the subject that will appear in the notification email.
5. Define the notification being sent by following the procedure in the Notification Robot topic.
6. Associate the Notification workflow template with a life cycle phase in a life cycle template.
This step is done from the Life Cycle Template Administration utility, found on the Utilities page. For more information, see Associating Workflow Processes with Phases and Gates.
