Creating an Action Item
To create an action item, navigate to the Tasks table and select Actions > New Action Item.

The actions available from the Tasks table are dependent on table view. If the New Action Item action does not appear, trying changing your table view to All or All Action Items.

If you are a team member, you can create action item only in project context. To create action item in product, library or quality context, you require ‘create’ permission. Only administrators and context managers can provide ‘create’ access permission to team members using Access Control Rules in Policy Administration. For more information see Access Permissions.
The New Action Item window displays the following types:

The Advanced step appears only when the Action Item Attributes property value is set to Advanced in the Type and Attribute Management utility.
Basic
1. From the New Action Item window, complete the following fields:
Context
The context, such as a product or project, in which the object is stored.
Type
If administrator has created custom Action Item types, the drop-down menu appears.
2. Under Actions, complete the following fields:
Field
Description
Number
The unique numeric identifier for the object. This field may be generated automatically.
Name
Enter a name for the action item. Enter up to 200 characters.
Description
Enter a brief description of the action item. Enter up to 4,000 characters.
Assignee
The user responsible for the action item work.
Select a project member from the drop-down menu. If you leave this field blank, the action item is assigned to you by default.
If you assign the action item to someone other than yourself, you are still able to update the action item.
Category
A business category that best describes the action item. This information can be used to search for action items.
Action Item Priority
Priority levels are available from the drop-down menu.
Deadline
The date on which the action item must be completed. Click calendar to select a specific date from the calendar. If you select the date as 2018-02-12, it is set as 2018-02-12 23:59 in your time zone. In other time zones, the deadline is adjusted to show the equivalent date and time.
Resolution
Enter a brief description of the resolution for the action item.
3. Under Schedule, complete the following fields:

Estimated Start
The date and time at which the action item work is scheduled to begin.
Estimated Finish
The date and time at which the action item work is scheduled to be completed.
4. Under Status and Risk, complete the following fields:

% Work Complete
The percentage of work that has been completed on the action item.
Status
Select the status of the action item:
Green—Indicates that there are no risks or obstacles; ready to proceed.
Yellow—Indicates caution; check before proceeding.
Red—Indicates an alert of high risk; do not proceed.
Unavailable—The status is not set.
Status Description
Optionally, enter a brief explanation for the status setting in the Status Description field.
Risk
Identifies the probability that action item will not be successfully completed and describes the obstacles that might undermine the action item work. Possible values are Very High, High, Medium, Low, Very Low, and Unavailable.
Risk Description
A brief explanation of risk setting.
5. Click Next to specify additional attributes of the action item, using the fields defined by your site.
Advanced
1. Under Impacts, complete the following fields:

Probability
An assessment of whether the action item will be resolved by the deadline.
Cost Impact
Approximate cost associated with action item work.
Impact
A brief description of other processes affected by the action item.
Resources
A brief description of the resources available to help complete the action item work, or any resources that might be necessary for the work to be completed.

This attribute is defined by user input, not by assigning a plan resource.
Comments
A brief note associated with action item.
2. Click Finish to create the action item. Click Apply to save your entries and continue creating the action item.
