Authorized Object Revisions through Agreements
*
The Edit Authorized Revisions action is only available for standard agreements. Context-based agreements authorize all revisions of an object that reside in the same context of the agreement and are in the appropriate life cycle state.
A standard agreement applies to the revision or range of revisions for an authorized object as specified in the Authorized Revisions column. The same authorized object can have multiple single revisions specified and up to one revision range. A single authorized object cannot have more than one revision range. For example, Object 1 has revisions A through E. An agreement manager can associate single revision A as well as the revision range C through E. Object 1 cannot be authorized for the revision range A through B and revision range D through E.
By default, the revision of the object picked initially is authorized. Using the edit authorized revisions action , you can authorize all revisions, a specific revision, or a range of revisions. The following list provides examples of each type of revision range. Use the procedures below to select authorized revisions for a single object or multiple objects.
To authorize all current and future revisions, select Initial for the starting revision and Latest for the ending revision. These revisions options are available when modifying individual objects or multiple objects. Your selection appears in the Authorized Objects table as Initial through Latest.
To authorize a specific revision or one-off revision, select that revision when adding the object to the agreement. Single revisions appear in the Authorized Objects table as the single revision or one-off revision. For example, D-1. One-off revisions are not available from the starting or ending revision drop-down lists.
To authorize a specific revision, select the specific revision for the starting revision and the ending revision. For example, to authorize revision B, select B for both the starting and ending revisions. This action is available only when modifying individual objects. It appears in the Authorized Objects table as B.
To authorize a range of revisions, select a specific revision for the starting revision and a later revision for the ending revision. For example, to authorize revisions C through E, select C for the starting revision and E for the ending revision. This action is available only when modifying individual objects. It appears in the Authorized Objects table as C through E. Revision ranges include any one-off revisions available for the revisions within the range. For example, if D-1 exists in the example above, it would be authorized because it falls within the revision range of C through E.
Use the table or row-level edit authorized revisions action to select a different revision or range of revisions for an authorized object. If you want to update several objects, select the objects in the Authorized Objects table and click the edit authorized revisions action at the top of the table.
*
If the version series for an authorized object has changed, the object will be out of scope. To allow access to the object again, remove the object from the authorized objects table, re-add the object to the agreement, and specify the appropriate authorized revision range based on the updated version series.
Edit Authorized Revisions (Single Object)
When you select a single object and click the edit authorized revisions icon at the table or row level, the Edit Authorized Revisions window appears. By default, the revision of the object picked initially is authorized.
Use one of the following options to select a starting revision:
Specific revision: a specific revision can be selected in two ways.
Initial: Authorizes the first revision of the object in one of the authorized life cycle states. If an earlier revision of the object is updated to be in one of the authorized life cycle states, the earlier revision is authorized. For example, if the Released state is authorized and revision C is Released, but B is In Review, revision C is authorized. If B is moved to Released, revision B is authorized.
Revision Level: Authorizes the revision indicated in the list. For example, if an object has revisions A through E and revision C is selected for the starting revision, authorization begins with revision C if revision C is in one of the selected authorized life cycle states. If revision C is not in one of the selected authorized life cycle states, the next revision in the appropriate life cycle state is authorized as long as the ending revision is later than C.
Date: Authorizes the latest revision of the object in one of the authorized life cycle states at the date selected. The starting revision date must be the same as or prior to the ending revision date and cannot be a future date.
*
If the date selected does not have a valid revision in one of the selected authorized life cycle states, a different date must be selected or a specific revision level should be chosen before completing the action.
Use one of the following options to select an ending revision:
Specific revision: a specific revision can be selected in two ways.
Latest: Authorizes the latest revision of the object in one of the authorized life cycle states, including revisions created in the future. If a later revision is moved to an authorized life cycle state, the later revision will be authorized. For example, if the Released state is authorized and revision B is Released, but C is In Review, revision B will be authorized. If C is moved to Released, revision C will be authorized.
Revision Level: Authorizes the revision indicated in the drop-down. For example, if an object has revisions A through E and revision D is selected for the ending revision, authorization will end with revision D if revision D is in one of the selected authorized life cycle states. If revision D is not in one of the selected authorized life cycle states, the latest revision prior to D in one of the authorized life cycle states is authorized. Ending revisions must be later than starting revisions in the revision sequence. In the example, if the starting revision was C, the ending revision could not be B.
Date: Authorizes the latest revision of the object in one of the authorized life cycle states at the date selected. The ending revision date must be the same as or after the starting revision date and cannot be a future date.
*
If the date selected does not have a valid revision in one of the selected authorized life cycle states, a different date must be selected or a specific revision level should be chosen before completing the action.
Edit Authorized Revisions (Multiple Objects)
When you select multiple objects and click the edit authorized revisions icon at the table level, the Edit Authorized Revisions window appears. By default, both the starting and ending revisions are set to No Change.
Use one of the following options to select a starting revision:
Initial: Authorizes the first revision of the object in one of the authorized life cycle states. If an earlier revision of the object is updated to be in one of the authorized life cycle states, the earlier revision will be authorized. For example, if the Released state is authorized and revision C is Released, but B is In Review, revision C will be authorized. If B is moved to Released, revision B will be authorized.
Date: Authorizes the latest revision of the object in one of the authorized life cycle states at the date selected. The starting revision date must be the same as or prior to the ending revision date and cannot be a future date.
*
If the date selected does not have a valid revision for one or more objects, the action will complete. Objects without valid revisions will have an error in the Authorization Status column indicating that a valid revision range is needed. Select a different date or choose a specific revision range to authorize. All objects must have a valid revision range before the agreement can be created or updated. For more information, see Authorized Objects Table.
Use one of the following options to select an ending revision:
Latest: Authorizes the latest revision of the object in one of the authorized life cycle states, including revisions created in the future. If a later revision is moved to an authorized life cycle state, the later revision will be authorized. For example, if the Released state is authorized and revision B is Released, but C is In Review, revision B will be authorized. If C is moved to Released, revision C will be authorized.
Date: Authorizes the revision of the object in one of the authorized life cycle states at the date selected. The ending revision date must be the same as or after the starting revision date and cannot be a future date.
