Editing a Classic Activity
You can edit an activity by selecting Edit from the right-click actions menu in the Plan table.
The Edit Activity window is divided into the following steps:
1. Under the Identify Activity step, complete the following fields and then click Next:
Field
Description
Activity Name
Enter the name of the activity. This field is required.
Predecessors
Click Select to choose any predecessors for the activity. Predecessor plan objects define constraint relationships for the plan object being created. For example, if Activity A is selected as a predecessor to Activity B, then Activity B cannot be started until Activity A has been completed.
Activity Owner
Select a team member to be assigned as the activity owner from the drop-down list.
Description
Enter a brief description of the activity. Enter up to 4,000 characters.
Estimated Start
Enter a date for the start of the activity. Use the date format specified next to the field. (For example, if the specified date format is MM/DD/YYYY, the date could appear as 03/30/2005.) Click the calendar icon to choose a specific date from the calendar.
Actual Start
Enter the date on which the work associated with the activity actually began (this may be a date other than the current date). If an actual start time is not entered, the actual start date is set to the first time that the percentage done is edited or the first time at which the actual effort is reported for projects or programs in which cost is being tracked. This field appears only if the project or program is in manual execution mode. For other execution modes, this value is automatically calculated.
Estimated Duration
Enter the number of days which the completion of the activity is expected to take. If you have entered a specific number, a Calculate check box appears during an edit of the activity. If you select this check box, your entered number is overridden by an automatically calculated number from the system.
Estimated Finish
Enter the date by which it is estimated that the activity will be complete. If a duration has been specified, this date will automatically be calculated based on the estimated start and duration values.
Actual Finish
Enter the date on which the work associated with the activity was actually completed (this may be a date other than the current date). If a finish time is not entered, it is automatically set to the date and time at which the milestone is edited to be 100% complete. This field appears only if the project or program is in manual execution mode. For other execution modes, this value is automatically calculated.
Due Date
Enter the date after which the activity is considered overdue. Use the date format specified next to the field. (For example, if the specified date format is MM/DD/YYYY, the date could appear as 03/30/2005.) Click the calendar icon to select a specific date from the calendar.
Done
Enter the percentage of the activity work that is completed. If deliverables are associated to the activity, this is automatically calculated based on the percentage complete of the deliverables.
Estimated Effort
Enter the number of hours expected to be dedicated in order to complete the activity. For material resources, enter the expected number of units of the material to be consumed. The estimated effort must be higher than the actual effort. This field appears only in track cost mode.
Actual Effort
Enter the number of hours which were actually dedicated to the completion of the activity. For material resources, enter the number of units of the material consumed. This field appears only in track cost mode.
Status
Select a status designation from the drop-down list. Green indicates no problems. Yellow indicates caution. Red indicates an alert of high risk. The default selection is Unavailable. If deliverables are associated to the activity, this is automatically calculated based on the status of the deliverables.
Status Description
Enter a brief description of the status. Enter up to 4,000 characters.
2. Under the Identify Resources step, define the resources for the project or program including people, equipment, facilities, and materials. Select a resource from the All Resources field and click Add to add that resource to this activity. Once it has been added, the resource appears in the Selected Resources field.
To remove a resource from this activity, select it in the Selected Resources field and click Remove.
Click Next.
3. Under the Choose Notifications step, select events for which you would like to receive email notifications and then click Next:
