Updating User, Group, IBPL, and Multiple Pick Fields
When you create a new item or edit an item in the Item View or DocStudio, you can use the drop-down lists to update the values of the following types of fields:
User field: Select users
Group field: Select groups
IBPL field: Select values
Pick list field: Select values for the pick list
Perform the following steps to update the values of the above fields:
1. Start the edit mode of the Item View or DocStudio in the Refreshed Web Interface when you create a new item or edit an existing item.
2. Click the field to be edited.
A list of values opens.
*
The list displayed depends upon the constraints applied on the field.
3. If the field is configured to allow users to select a single value, you can assign a single value as follows:
Select a value from the list.
The selected value is shown in the field.
Click Apply and then click Save.
4. If the field is configured to allow users to select more than one value, you can assign multiple values as follows:
Select one or more values from the list.
The selected values are shown in the field.
Click Apply to save the changes.
The selected values are added to the field. For multiple pick fields, the number adjacent to more is a count of values for the field. This count does not include the value currently displayed for the field. You can click on the field to open the list if further updates are required.
*
You can search for a value using the search box and then select the value.
To remove a selected value from the field, you can either click and clear the value or click next to the value in the field.
Click Save.
*
If the values in the list are invalid for user, group, or multiple value pick fields, the Apply option is disabled and an appropriate error message is displayed.
*
If a user or group has been made inactive in the system, the status of the user or group in the list is shown as Inactive during an active edit operation. However, if a user does not belong to any security realm, the status of the user is shown as Inactive during an active create or edit operation. Additionally, a user who is not a part of any security realm is not available for selection in the list during an active create or edit operation.
The Save operation cannot be completed and an appropriate error message is displayed in the following cases:
Inactive users or groups are selected.
A field has an invalid value.
User or group names contain a comma.
When you edit an IBPL field, a server call is made to fetch the latest values for the field. Upon changing the value of any of the constraining IBPL fields, one of the following messages is displayed:
Editing the field could impact IBPL01 field. Click the field to get the valid value set.
Editing the field could impact IBPL01, IBPL02 fields. Click the field to get the valid value set.
This message is displayed when multiple IBPL fields are affected.
*
If the IBPL field is empty and you modify any value constraining IBPL field, then no message is displayed.
After changing the field value, when you click the IBPL field, a server call is again made to fetch the latest values depending on the updated value of the field.
