Creating Groups
You can use the create groups feature to add a new group with detailed information. You must select a group name to create a group. Other information is not required, but may be added at a later time, if necessary. You can only create one group at a time.
To create a new group in the GUI
1. From the Groups view, select > . The Create Group dialog box displays.
2. In the Name field, type a name for the group. The group name must be the same as one defined in your security realm. The Name field allows up to 100 alphanumeric characters.

To avoid authentication errors, group names must be different from all user names.
You should not use commas, colons, or special characters in user or group names. If you use commas in the group name, you cannot select the group in a multi-valued group field. If you use colons in the group name, the group cannot edit shared workflow and document objects (charts, queries, reports, and dashboards).

3. In the Email Address field, type the group’s e-mail address, for example, dev_teamA@xyzBusiness.com. The specified e-mail address is an e-mail alias for e-mail notifications. You can specify multiple e-mail addresses by separating each address with a semicolon (;).
5. Using the
Query Timeout option, you can specify the time allowed for queries run by members of the group. If this timeout is set to zero, the system default timeout or system absolute timeout value is used. The group query timeout value cannot be higher than the system absolute timeout value. For more information on setting system timeout properties, see
“Source Configuration Management Properties”.

If a user belongs to multiple groups, the highest timeout setting is applied for that user. For example, if a user is in two groups, the Development group (with a 5 second query timeout value) and the everyone group (with a 10 second query timeout value), any queries performed by that user are permitted to run for 10 seconds before they are stopped.

6. Using the
Active option, specify whether a group is considered active or inactive in
Windchill RV&S. By default, the group is created active. To deactivate the group, clear the
Active check box. For more information on deactivating groups, see
“Deactivating Groups”.
7. Under the Description tab, type a more detailed textual description of the group, such as project information, product specialization, and so on.
8. Under the Image tab, associate an image with the group. You can use one icon image for developers, another image for quality assurance, and so on. To associate an image with the group, you have three options:
◦ To use your own icon image, select Use Custom Image, and click Select to browse for the image file.
◦ To use the predefined icon image, select Default Image.
◦ To associate no icon image with the group, select No Image.
If you choose to use your own custom icon image, the image must be in GIF or JPEG format and no larger than 24 (width) by 16 (height) pixels.
9. Under the Notification Rule tab, create or edit e-mail notifications for a group. These notifications settings are intended for administrators to control which groups receive notifications about Elements. It provides a centralized location for controlling notifications.

If you are creating or editing e-mail notification for specific users, you must deny the ModifyMyNotification permission for those specified users. This ensures that those users cannot modify their own notifications while you are making modifications. For more information on setting up e-mail notification, see theWorkflow documentation.

Do one of the following:
◦ Define the conditions that when satisfied cause the group to be notified. For more information on defining rules, see the Administrator documentation.
When you have defined the conditions, proceed directly to step 10.
◦ Copy another group’s notification conditions. Do one of the following:
▪ Click Add to copy notification conditions. The copied conditions are appended to any existing rules.
▪ Click Replace to copy notification conditions to replace any existing rules.
The Rule Selection dialog box displays.
10. In the Objects with Rules list, select the group you want to copy conditions from. If the group has conditions, that group displays in the Preview area.
11. Click OK. The condition displays in the Notification Rule panel.
12. Repeat steps 8 to 10 as necessary.
13. To save the new group, click OK.
