Creating a Classic Deliverable

Only project or program managers can create deliverables.
You can create a deliverable by clicking the new deliverable icon on the Tasks table or select New Deliverable from the right-click actions menu in the Plan table.
The New Deliverable window is divided into the following steps:
1. Under the Identify Deliverable step, complete the following fields and then click Next:

Description
Deliverable Name
Enter the name of the new deliverable. This field is required.
Subject
Click Find to search for and select the object that is to be delivered by the due date.

The deliverable state will be the same as the state of the object you select. For example, when you edit the state of a document, the deliverable state is simultaneously edited in the State column of the Tasks table on the Tasks page.
Activity
Select the activity to which the deliverable is related. The schedule information of the activity is then associated with the deliverable. The drop-down list contains a complete list of all of the plan activities in your project or program. You can associate one or more deliverables with an activity but it is generally best to associate a single deliverable with an activity to more accurately track progress of the individual deliverables through the activities. The percentage complete for the activity will not reflect the percentage complete of any associated deliverables. The activity estimated finish date is automatically defined to be equal to the estimated finish date of the latest finishing deliverable. You can override the activity duration to define a finish date that is earlier or later than the estimated finish of the latest finishing deliverable.

You can associate a single deliverable to an activity and to a milestone. The deliverable information is calculated and used differently depending on to which it is associated.
Milestones
Enter the milestone associated with this deliverable. You can enter the number of the plan object sequence. For example, if the milestone you want to associate is ID number 2 in the plan sequence, enter 2 in the field. You can also click Select to choose milestones from the list of those available. The schedule information of the milestone is then associated with the deliverable. Several deliverables may be associated with the same milestone.

You can associate a single deliverable to an activity and to a milestone. The deliverable information is calculated and used differently depending on to which it is associated.
Deliverable Owner
Select the person from the available team members who is responsible for the delivery of the subject object by the specified due date. Although only project or program managers can create deliverables, any team member can be assigned as a deliverable owner.
Description
Enter a brief description of the deliverable. Enter up to 4,000 characters.
Estimated Duration
Enter the number of days which the completion of the deliverable is expected to take. If you have entered a specific number, a Calculate check box appears during an edit of the deliverable. If you select this check box, your entered number is overridden by an automatically calculated number from the system.
Estimated Finish
Specify a date by which it is estimated that the deliverable will be complete. If the date is not specified and you have selected an activity to associate with the deliverable, then the deliverable's Estimated Finish date will be automatically set to that of the associated activity.
Due Date
Enter the date after which the deliverable is considered overdue. Use the date format specified next to the field. (For example, if the specified date format is MM/DD/YYYY, the date could appear as 03/30/2005.) Click the calendar icon to select a specific date from the calendar.
Done
Enter the percentage of the deliverable that is completed.
Status
Select a ranking of the status of the project or program. Green indicates no problems. Yellow indicates caution. Red indicates an alert of high risk. The default selection is Unavailable.
Status Description
Enter a brief description of the reasons for the status designation.
2. Under the Choose Notifications step, select events for which you would like to receive email notifications and then click Next:

Status Change
Sets up notification of a change in the status of the deliverable.
Percent Done Change
Sets up notification of a change in the percentage of completion of the deliverable.
Estimated Finish Change
Sets up notification of a change in the estimated finish date of the deliverable.
Turns Red
Sets up notification of a status change to red. Red is an alert of high risk.
Due Date Change
Sets up notification of a change in the due date of the deliverable.
Missed Due Date
Sets up notification of the passing of the due date without deliverable completion.
[x] Days Before Due Date
Sets up notification to alert when the specified number of days before the deliverable due date remains. The default number is 3 days.
[x] Days After Due Date
Sets up notification to alert when the specified number of days after the deliverable due date has passed. This includes the number of days overdue. The default number is 3 days.
Owner Change
Sets up notification of a change in the owner of the deliverable.
Object Deletion
Sets up notification of the deletion of the deliverable.
Completion
Sets up notification of the completion of the deliverable. (Project or program manager only.)
3. Under the Identify Risk step, complete the following fields:

Identifies the probability that the deliverable will be completed by the due date. Select either Very High, High, Very Low, Low, Medium, Unavailable.
Risk Description
Enter a brief description of the reasons for the Risk designation. Enter up to 4,000 characters.
4. Click Finish to create the deliverable.
The deliverable is created and visible in the Tasks table.
