Create a Promotion Request
You can initiate the promotion request process using several methods. Objects must be located in a product or library.
From the Folder Contents table, select Actions > New > New Promotion Request. To include objects in the request, select one or more objects first.
From an object information page, select Actions > New > New Promotion Request.
From the Search Results table, select one or more objects. Select Actions > New > New Promotion Request.
The objects you select are included in the promotion baseline. These objects can be reviewed by the promotion request approvers and reviewers.
However, you can select objects that you do not intend to promote to another state. You identify which objects should be promoted as part of the Select Promotion Objects step. This step also provides several options to collect additional related objects.
The New Promotion Request window is divided into several steps:

1. Complete the following fields:
Type
This menu appears if your site has created a custom promotion request type. The selection you make might change the fields that appear.
Name
The name is automatically populated with the information of the first object selected.
If you do not want to accept the default name, you can modify this field. Enter up to 70 characters.
Description
A description of the promotion request. Enter up to 2000 characters.
Location
The context and folder in which the promotion request resides.
Need By
The date by which the promotion request must be reviewed or approved.
Apply default collection
Select this option if you want to apply the default collection rules on initially selected objects.
These rules are defined in using the Promotion Process > Collector preferences.

2. Click Next.
Select Promotion Objects
The Promotion Objects table appears. An initially selected indicator appears next to objects selected before launching the New Promotion Request action.
You can use this table to gather objects that are related to the initially selected objects. For example, if you initially selected a part, you can choose to collect all of the supporting documentation for that part, such as drawings. From the list of gathered objects, you can select which objects should be promoted.
1. Use the following actions to add objects to the Promotion Objects table. To remove objects, select the table row and click the remove icon .
Paste
Paste all objects currently in the clipboard.
Paste Selection
Select objects from the clipboard to paste.
Collect Objects
Open the Collect Objects table.
You must select one or more table rows before using this action.
Add Promotion Objects
Open the Add Promotion Objects window.
You can use this window to search for objects. You can add multiple objects at once from the Search Results table.
Add by Number
Add by Name
If you know the object name or number, you can use the quick entry fields.
Begin entering the name or number. A suggestion list appears as you type.

You must enter a minimum of three characters before suggestions appear.
2. Select a state from the Target Promotion State menu. You must select a target state before you can complete the next step.
3. Select the objects you want to promote to the target state and click the set object for promotion icon on the table toolbar.
The promotion status indicator appears next to objects that are marked for promotion. Each promotion request must include at least one object set for promotion.
4. Selecting an object for promotion enables the Promotion Comments column. You can use this field to include additional information about each object.
5. Click Next.
If there is an issue with the contents of the table, a window opens to assist you with a resolution.

Administrators can use the wt.maturity.autoPromoteType property to automatically designate certain objects for promotion. For more information, see Automatically Set Promotion Objects.
Select Participants
Select the promotion process and the users you want to participate in the promotion process. By default, any tasks associated with the process are assigned to the roles defined in the product or library.
1. Select the process you want to use.
Promotion Request Approval Process
This process is designed to send the promotion request through a review in order for the promotion to succeed.
When you select this process, your assign participants to the Approver and Reviewer roles.
Team members assigned to the role of Approver are required to review the promotion request and then choose to either approve or deny it. The promotion request then follows the process until all approvers have completed their reviews:
If all approvers choose to approve the request, the states of the objects are promoted to the specified target state.
If any approver chooses to deny the request, the processes ends in a rejection and the states of the objects remain unchanged or return to the original state.
Promotion Request Review Process
This process is designed to change the state of the selected objects and notify specified team members that the promotion has occurred.
When you select this process, your assign participants to the Reviewer role.
Assigned team members have the option of reviewing and commenting on the changes, but no one is required to complete a task and the process does not depend on anyone's approval or rejection.
2. The process you selection determines what roles are required in the Participant List table. Use the checkboxes to determine who to include in the promotion request process.
