Retrospective Timesheet Records
Issue: Some technicians did not have historical timesheet records created for the previous month. How can the timesheet records be created for these technicians for the prior month or for the period they are missing?
Resolution: The timesheet engine only generates Timesheet records for the current week + 1 and cannot be used to create retrospective timesheet records. This is a limitation of the Timesheet generation process that historical missing records cannot be generated retrospectively. However, you can re-run the timesheet process.
Creating time entries requires both an existing timesheet and the related timesheet daily summaries.The number of prior periods to process is set to the appropriate number. For example, in this case, it is set to 5, which covers the period where they are missing. Once these are in place, the Timesheet Auto-fill process must be re-run. This will retrospectively populate the timesheets with the time entries where there are no existing time entries.
To create timesheet records in retrospective:
1. Create a timesheet manually or export an existing timesheet for the same technician.
2. Edit the exported file with new start and end dates that include the missing time.
3. Ensure the status is set to Open and update the timesheet user ID to a new user ID.
4. Import the adjusted file. This creates the missing timesheet.
5. Generate the timesheet daily summaries for the new timesheet using the script provided at the following link: Script to generate time sheet daily summaries. Follow the comments in the script to know how the script works and the values to use.
6. Confirm that the timesheet and daily summaries are created after the script is run.
7. Re-run the autofill process to create the time entries for the timesheet and associated daily summaries. Ensure that the Prior Timesheet to Process field qualifies the newly created timesheet.
