Word Round-trip Workflow
Word round-trip workflow allows you to export items to Word, edit them and then import them back into Codebeamer.
Exporting Items
To export items from Codebeamer to Round-trip Word documents:
1. Navigate to the tracker containing the items to be exported.
2. Within the tracker, select Export to Office from the more menu. If you want the export document to only contain selected items, click Export selection (and their children) to Office
3. The Exporting Items page appears, where you can select the Round-trip Word Export option.
*
When this menu is selected, Codebeamer builds a Word document containing the items displayed in the current view. The Word document downloads automatically. The generated file name contains the current project's and tracker's names.
*
When exporting to Round-trip only those items are exported which match the active view in that tracker. You can easily control which items are exported by defining a new Tracker view or choosing an existing view that matches your needs.
Editing Items in Word
When opening the Round-Trip document in Word, all exported items are rendered, including the formatting.
The images appear embedded in the Word document as they appear in Codebeamer.
All existing comments made on the items appear in the Comments panel on the right and are linked to the appropriate item.
From there, you can start editing the content as shown.
Each exported item has a bounding box where all modifications to this item must be made. This enables the importer to find the original item.
*
Anything that is written outside of the boxes is ignored during import.
The Round-trip Word document uses the Track changes feature to find the changes you made to the document. As a result, Word highlights all changes.
You can add new comments on any text inside the bounding box of an item. The new comment is also imported into the respective item.
Incorporating Changes Back from Round-Trip Document to Codebeamer
After editing the Round-trip Word document, you can import the changes into Codebeamer using the Import option available in the more menu of any tracker. Select the Microsoft Word option in the Importing Items page that opens when you click Import.
The first page of the import wizard appears. Here, the Round-Trip docx document can be selected and uploaded. This is the same wizard that is used for non-round-trip import, but the importer automatically recognizes the Round-trip documents and display the specialized import page for them.
The importer reads the Round-trip document and scan it for changes. The import wizard displays only the changed items and shows the differences between the original item and the edited document.
1. Select changes
2. Differences highlighted
3. An image inserted
4. A comment added
The Importing items from round trip page shows the following:
The Import page only show the changed items. The original summary and description of these items are rendered, and a link is displayed. Click the link to open the affected item in a new window to review original content.
The changes found in the imported document are highlighted. Deleted text is red, and added text is green.
Images inserted into the Word document are added as attachments to the target item and correctly referenced from the generated wiki markup.
If any new comment has been added to an item, it also appears on the this page. Comments that were previously present when the document was exported are ignored and not shown.
Changes to summaries are also highlighted and displayed.
During import, the user can select which changes to import by selecting the Apply? checkboxes next to each changed item.
After reviewing the imported data, the user can save and apply the changes; a summary of the changes is then displayed.
