Replace Content with a Local Copy
The Structure tab in the Service Structure Information Page enables you to save an object in the structure as a local copy of that object. For example, if you have inserted a publication section from another context into your publication structure, you can keep the content in that section independent from the original section. In that case, you can save that section as a local copy in your context. As part of this operation, you can choose which of the dependent objects associated with the section that you want to include in the local copy.
Follow these steps to replace an object in your publication structure with a local copy:
1. Open the Structure tab on the information page for the service structure on which you want to work.
2. In the service structure pane, locate the object that you want to replace with a local copy and click on it.
The object must be checked in before you can replace it with a local copy.
3. Click on the Save As icon in the New/Add To action set and choose Replace with Local Copy from the menu list.
You can also use the shortcut menu to save an object by choosing New > Replace with Local Copy.
In either case, the Commonspace Save As window opens.
4. Determine which dependent objects you would like to include in the copied object.
You can include dependent objects in the Save As table by changing the selection in the Dependents menu list to All. However, this does not include the objects associated with content holders and Information Groups or Publication Sections in the table. To include those, select those objects in the table and click the Collect related CAD / Dynamic documents button in the toolbar to add the documents related to content holders to the table.
Once you have all of the dependent objects you want in the table, you can select them and use Exclude and Reuse to determine which objects to include in the copied object.
5. Modify the options in the Save As table as desired.
For example, you can enter a new name for the object or a dependent object in the New Name column. The system generates a default new name by appending an underscore character ( _ ) to the current name. You can enter a New Number or let the system generate a number for you. You can change the Location to a different context and so forth.
By default, new objects are saved in the same location as the source object. If the new object you are creating is in a different context from the source object, you need to modify the Location accordingly.
6. Click OK to save the copy of the object in your publication structure.
The selected object in your service structure is replaced with a local copy. As part of this process, an association is set up between the original object and your local copy of the object. When the original object is modified, you receive a notification email describing the change. This enables you to incorporate that change into your copy of the object if desired. Note that your administrator must have email configured for you to receive these notifications. For more information about configuring email, see Configuring System Administration Settings.
You can change the default location where objects are saved in the Use Location of Source Object preference in the Save As preferences category. Set the value of that preference to No, and new objects are saved in the root folder of the context in which the objects are created. See Setting Service Preferences for more information. If you use the Service Information Manager General Product template to create your context, the value of that preference is set to No automatically.
